New Voting Format for AGM

Preparations for the SACU AGM on Sunday the 27th of February 2022 are now well underway. As the 2021 AGM had to be postponed due to Government Regulations surrounding COVID-19, there are a number of positions up for nomination. In order to effectively manage this on the day, cut down on paperwork and manage time more appropriately, it has been decided that voting will take on a new format.

 

As has always been the way, Clubs who have paid their membership in full and submitted their list of club members to the SACU Office by the 30th of November 2021 will be entitled to the corresponding number of votes as per the Constitution. This will not change.

 

Within the new voting system, instead of Clubs being posted out multiple paper voting slips for each nominee position, they will instead receive one paper as outlined below. These will be emailed directly to Club Secretaries. Clubs will now proportion their votes by number instead of ticking boxes on separate sheets of paper. Full instructions can be found below:

As there are a considerable number of positions up for nomination, in order to save time at the AGM, all votes must be cast by proxy in advance of the day. All votes must be returned to the SACU Office by the Club Secretary by no later than WEDNESDAY 23RD FEBRUARY 2022. Any votes cast after this day will not be accepted. These can be emailed or printed and posted to the SACU Office at the Club’s preference.

 

Votes will be counted, verified and prepared in advance of the AGM enabling a smooth and efficient running on the day. We appreciate the time taken by members to attend the AGM and wish to encourage attendance by minimising administration time during the event. Additionally, due to the uncertainty surrounding COVID-19, we are hopeful that an in-person event will be able to go ahead, however this may not be possible if circumstances change. For these reasons, voting on the day will not be possible.
